About the Role

At Pavago, one of our clients is hiring a Data Entry Specialist to manage and maintain high-volume business data across CRM systems, spreadsheets, and internal operational tools.

This is not just a typing role.

This is a data accuracy and quality control position where attention to detail is critical. You will be responsible for ensuring records remain:

What You’ll OwnData Entry & Accuracy (Core Responsibility)

  • Enter and update records across:
    • Salesforce
    • HubSpot
    • Airtable
    • Microsoft Excel
    • Google Sheets
  • Cross-check data against:
    • Contracts
    • Invoices
    • Customer records
    • Internal documentation
  • Identify and correct:
    • Duplicate entries
    • Missing information
    • Incorrect records
    • Formatting inconsistencies

Data Cleaning & Maintenance

  • Clean and standardize datasets using:
    • Filters
    • Pivot tables
    • Formulas
    • Sorting tools
  • Maintain consistent formatting and naming conventions
  • Perform recurring data audits to ensure long-term data integrity

File & Record Organization

  • Maintain organized digital records across:
    • Google Drive
    • SharePoint
    • Dropbox
  • Ensure files are:
    • Properly named
    • Structured
    • Version-controlled
    • Easy to retrieve

Reporting & Cross-Functional Support

  • Generate daily and weekly operational reports including:
    • Data update logs
    • Audit summaries
    • Transaction tracking reports
  • Support teams across:
    • Sales
    • Finance
    • HR
    • Operations

Compliance & Data Integrity

  • Maintain confidentiality of sensitive business and customer data
  • Follow data handling standards aligned with:
    • GDPR
    • HIPAA
    • CCPA
    • Internal compliance procedures
  • Ensure records remain clean and audit-ready at all times

Process Improvement

  • Identify recurring data quality issues
  • Suggest improvements to:
    • Templates
    • Forms
    • Data entry workflows
    • Automation opportunities
  • Help reduce manual errors and improve operational efficiency over time
